Year-end technical checklist for laboratories: what to check before the start of the new financial year

The end of the year involves a lot of administrative review. But in the lab, it is also the perfect time to ask a more important question: are we really prepared for the start of January?

A stock break, an incompatibility between packaging and closure, or a gap in the documentary traceability can turn the start of the new fiscal year into something much more complicated than necessary. And almost always, they are avoidable.

Here are the four areas that should be reviewed before closing.


1. Do you have your critical stock covered?

Start with the most immediate: Is there enough material for the first few months of the year?

We are not just talking about doing a physical inventory. The key is to cross-reference it with recent average consumption and with the forecasts for the startup. High-turnover consumables —tips, tubes, flasks, filters, gloves, pipettes, DIN18 or PP28 containers— are the first candidates to cause problems if not anticipated.

In B2B environments, a reference that seems secondary can become a real bottleneck if it affects sampling, packaging, or daily operations. It's better to detect it now than in the second week of January.

What to review:​

  • High-turnover material used in closing campaigns
  • Basic bottles for sampling and storage
  • Consumables that are frequently restocked
  • Critical references for January orders


2. Standards, batches, and traceability: Is everything in order?

This point is less visible but just as important. When an audit or internal control arrives, the documentation must be available, not locatable.

Confirm that the applicable standard is correctly identified according to the material —glass, plastic, or aluminum— that the DIN and CE certificates are visible where required, and that the batches are archived and accessible. If the material is subject to regulated processes or is part of quality documentation, it is not enough for the product to be correct: the associated information must also be accurate.

Having organized traceability at the end of the year makes the start of the next one much cleaner.

What to review:​

  • Applicable standard according to the material
  • Identification and technical labeling of references
  • Compliance for food or cosmetic contact, if applicable
  • Archived and accessible lots


3. Are the packaging and closure really compatible?

Here is one of the most common and often late-detected errors: compatibility issues usually do not arise when purchasing the container, but rather when filling it, transporting it, or storing it.

The combination that needs to be validated is complete: product + container + closure + seal + liner. The appropriate closure —DIN18, PP28, GL45— depends on the type of product and its viscosity. The correct liner depends on chemical compatibility and the necessary airtightness. And the material of the container must meet the requirements for stability, light, and migration of the contents.

Reviewing this before the end of the year prevents having to redo purchasing decisions with the new fiscal year already underway.

What to review:

  • Correct thread according to product and final use​
  • Suitable liner for sealing and chemical compatibility
  • Packaging material according to content and technical requirements
  • Compatibility with the filling or closing line, if applicable


4.Repeated mistakes (and how to avoid them)

Some failures appear repeatedly in laboratory technical purchases. The most common ones:

  • Confusing borosilicate glass with soda-lime glass. They are different materials with very different thermal behaviors. Choosing the wrong one can affect strength and durability.
  • Do not verify standard or batch. A purchase without technical documentation is a half-hearted purchase, especially if it enters regulated processes.
  • To consider a thread valid without checking it. Compatible in theory does not always mean compatible in practice with the closure or the filling line.

If a purchase is critical for the start of the year, it deserves more than just a review by reference or price. The technical specification and compatibility of the complete set must be confirmed before finalizing the order.


Quick checklist to have on hand

A minimal review before closing the year:

  • Is the critical stock covered for the upcoming months?
  • Have high-turnover and quick-replenishment consumables been reviewed?
  • Is the traceability of batches and the technical documentation archived?
  • Has the applicable standard been confirmed according to the material?
  • Has the compatibility between the thread, liner, and container been validated?
  • Have the references that could cause issues in auditing or production been reviewed?


A brief review, but at the right moment

It doesn't take a long process to close the year well. What is needed is clear criteria and to do it before the new fiscal year is already underway.

Reviewing critical stock, documentation, traceability, and compatibility now reduces purchasing errors, prevents material shortages at the worst time, and allows for starting January with much greater operational security. It's worth dedicating the time.
